Position Summary
Bryn Mawr Country Club is seeking an energetic, detail-oriented, and hospitality-driven Events Manager to oversee the planning and execution of private and club events. This role is responsible for managing all aspects of the event lifecycle, from initial inquiry and contract execution through post-event follow-up, ensuring exceptional experiences for members, guests, and clients.
The ideal candidate is highly organized, thrives in a fast-paced environment, excels at relationship building, and has a passion for delivering outstanding service while driving event revenue and client satisfaction.
Key Responsibilities
Serve as the primary point of contact for members, clients, and event hosts throughout the planning process.Plan, coordinate, and execute weddings, social events, corporate functions, golf outings, club-sponsored events, and other special occasions.Conduct site tours, prepare proposals, contracts, Banquet Event Orders (BEOs), and event timelines.Collaborate with the Food & Beverage Director, Executive Chef, Banquet Team, and other departments to ensure seamless event execution.Coordinate all event details including menus, room layouts, décor, rentals, entertainment, audiovisual needs, transportation, and specialty vendors.Design and manage event floor plans and room setups.Maintain accurate event records, client correspondence, and event documentation within the club's event management systems.Monitor event budgets, track revenue opportunities, and maximize sales through strategic upselling.Oversee event operations on-site, ensuring exceptional service standards and prompt resolution of any guest concerns.Conduct pre-event meetings with service teams and communicate event expectations and timelines.Build and maintain strong relationships with vendors, suppliers, and community partners.Ensure compliance with club policies, health and safety regulations, and service standards.Participate in post-event evaluations and identify opportunities to improve operations, guest satisfaction, and profitability.Assist with marketing initiatives and event promotion efforts to support club growth.Qualifications & Experience
Minimum 3 years of event planning, catering, hospitality, country club, hotel, or banquet management experience preferred.Proven ability to manage multiple events and deadlines simultaneously.Strong sales, client relationship, and customer service skills.Exceptional verbal and written communication abilities.Experience negotiating contracts and managing vendor relationships.Strong organizational skills with keen attention to detail.Proficiency in Microsoft Office Suite and event management or CRM software.Ability to work evenings, weekends, and holidays as required by event schedules.Knowledge of food and beverage operations, banquet service, and hospitality standards preferred.Ability to lead teams effectively while maintaining a positive and professional work environment.What We Offer
