The Office Administrator is responsible for providing administrative support to ensure the efficient operation of the office. This position manages day-to-day office functions and helps maintain organized business operations. The ideal candidate is highly organized, detail-oriented, professional, and able to multitask in a fast-paced hospitality environment.
Essential Duties & Responsibilities
Answer and direct incoming phone calls and emails professionally.Greet guests, vendors, and clients in a courteous manner.Maintain organized filing systems .Prepare daily sales reports and other management reports.Maintain office supplies and place orders as needed.Assist with scheduling meetings and maintaining office calendars.Support golf outing and banquet administrationAssist with customer inquiries regarding memberships, events, and reservations.Coordinate mail, shipping, and deliveries.Maintain confidential employee and financial records.Assist management with special projects and administrative tasks.Ensure the office remains organized and operates efficiently.Perform other duties as assigned by management.Qualifications
High school diploma or equivalent required; associate degree preferred.Minimum of 2 years of administrative or office experience.Accounting or bookkeeping experience preferred.Experience in hospitality, golf, restaurant, or event management is a plus.Proficiency in Microsoft Office (Word, Excel, Outlook).Experience with Google Sheets/ Docs preferredExperience with QuickBooks or similar accounting software preferred.Excellent verbal and written communication skills.Strong organizational and time-management abilities.Ability to multitask and prioritize work effectively.High level of professionalism and confidentiality.Strong customer service skills.Ability to work independently and as part of a team.Physical Requirements
Ability to sit for extended periods.Occasionally lift up to 25 pounds.Ability to walk throughout the clubhouse and property when necessary.Work Schedule
